How Much is the Deposit ?

Non Refundable 

The Waterside Venue does not hold any dates until the deposit in full has been paid. Once the deposit is paid, the date of booking will be secured.

Once the deposit is paid in full - you are agreeing to adhere to our policies mapped out beneath and our terms and conditions.

How can I Pay the deposit ?

Please can you put the date of your party or wedding as reference. You can also pay by Credit Card or Cash.

( Please call us prior to paying your deposit to check your desired date is still available. After payment is made, you must contact us to confirm that you’ve sent it and we can confirm receipt, otherwise the booking is NOT complete or accepted )

When are payments due ? 

After the deposit is paid, we set up a monthly installment payments system,  so that there is no big bill on the day. Venue hire and ceremony fee (if applicable) must be paid in full 3 months before your wedding.

Which registrar’s Do we contact ?

Hertfordshire County Council are the registrar’s you’ll need to contact if you are planning to have your ceremony at our venue. Once you book our venue, visit Hertfordshire County Council’s website here to book in your ceremony with them. We are an Approved Venue.

When do we confirm Numbers and Food choices ? 

Food and approximate numbers 3 months before the event, final numbers 3 weeks before please.

Terms and Conditions @ The Waterside Venue

Definitions:
VENUE – The Waterside Venue
CUSTOMER – The persons hiring the venue.

Payments

After your deposit is paid and event is confirmed, we want you set up a standing order or monthly transfer to pay of the remaining balance owed to the venue. The reason we do this is so you won’t have a big bill on the day and is the best way for us and you to keep on top of payments. If, for whatever reason, you cannot set up a monthly payment plan, please inform us of the alternate scheduling of your payments and make sure we are aware of your payment plan.

All applicable venue hire fees (hire fee, ceremony fee) will be added to your transaction section within Sonas. These charges must be paid via BACS, direct debit or standing order no later than three months prior to the date of your event. You can keep track of these charges via Sonas.

All drinks orders (arrival drinks, table wine, bar tab) will need to be submitted and paid for in full no later than one month prior to the date of your wedding. You can fill in this information on the ‘drinks order’ section within Sonas.

Personal Belongings & Lost Property 

  1. The VENUE will not accept liability to any lost, stolen or damaged gifts or belongings of the CUSTOMER, their employees, contractors, agents or guests throughout or following the function.

  2. In particular the CUSTOMER is requested to remove all wedding gifts following the FUNCTION, as the VENUE cannot accept any items for safe keeping.

  3. Any unclaimed lost property items will be kept for a period of one month after your FUNCTION DATE.

  4. Any vehicle parked is at the owner’s risk, no parking is allowed overnight.

Behaviour & Conduct of Guests

  1. The use or possession of drugs is strictly forbidden at the PREMISES and anyone found taking or distributing any form of drugs will be removed from the function.

  2. The CUSTOMER will be held responsible for any defacement of the VENUE at the time of the FUNCTION.

  3. The CUSTOMER agrees to be responsible for damage or defacement of the PREMISES by the Customer or by persons attending the FUNCTION with the permission of, or at the invitation of, the CUSTOMER and will be held liable for the cost of repair or refurbishment which will be charged if required.

  4. The CUSTOMER will be held responsible for the behaviour and conduct of guests, contractors and suppliers attending the premises.

  5. Guests are to stay within the confines of the PREMISES at all times.

  6. We have a zero tolerance policy to violent or abusive behaviour towards any of our staff and we will remove individuals from the PREMISES immediately if we believe they are acting inappropriately.

  7. The  MANAGEMENT of the VENUE have the right to remove any individual from the PREMISES at their discretion.


    After the function finishes:
    -All guests must make their way indoors at 11pm strictly (Friday-Saturday) and 9pm (Sunday-Thursday), in respect of our neighbours.
    -All guests are to vacate the PREMISES at 12am and no later than 12.30am (Friday-Saturday) and 10:30pm (Sunday-Thursday). Any guests remaining after this time will be politely asked to call a taxi and wait inside until it arrives.

-The Customer shall commence the Function promptly at the time agreed with The Venue Group and shall ensure that after the Function, the Customer and all guests shall have left the Venue no later than the time set by The Venue Group under the terms of the Booking confirmation.

- All guests must leave the venue quietly in respect of our neighbours. 


Damage to Persons or Property:
1. The Customer shall take (and shall procure that its guests, employees, agents and contractors shall take) every precaution not to injure any person or damage the Venue or any property of The Venue Group or any third party connected with the Function.

2. The Customer agrees to fully indemnify The Venue Group from and against all claims or demands by third parties (including but not limited to the employees, sub-contractors and guests of the Customer), at law or in equity in connection with the Function.

3. All cars are left at the owner’s risk.

Cancellation Policy:

The deposit of £995 is non-refundable.


-If the event is cancelled between 12 and 6 months before the date of the wedding – 70% of payments made above the non-refundable deposit payment will be refunded..
-If the event is cancelled within 6 months of the date of the wedding – there will no refund made for any payments made.

- We strongly advise that you obtain wedding insurance in advance of planning your wedding which can offer all different levels of cover in the event of a cancellation, failure of suppliers, loss, theft or damage, personal liability and so on. It is the responsibility of yourselves to take out the insurance policy and to ensure they have the correct level of cover.

- If the we cannot perform any part of the contract with yourselves due to any events or circumstances which are unforeseen, unavoidable or outside the reasonable control of ours (unexpected Event), we shall have the right to cancel the contract with yourselves, our liability shall be limited to the return of any payments received from yourselves, or anybody who paid on your behalf.

- We reserve the right to cancel a booking within 4 weeks of that particular function, for no defined reason.

- In the event a wedding has to be rescheduled (for a defined reason), no refunds will be given for any payments made by the couple prior to rescheduling. . 


Conduct of the Function in an Orderly Manner:
- The Customer will, when requested by The Venue, provide full details of the nature of, and agenda for the Function, the names of the guests and third parties and any other information required by The Venue from time to time.
- All electrical and audio-visual equipment must comply with the IEE Regulations and Safety Standards current at the time of the Function. Utility connection and consumption charges will be payable by Customer where appropriate.
- All performers engaged by the Customer to perform at the Venue must be in possession of public liability insurance to the value of £2,000,000. The Venue Manager shall have total authority to instruct live acts to operate, or cease to operate, as he or she sees fit within the Function requirements.
- The Customer shall indemnify The Venue, and its landlord, in respect of any and all claims asserted against The Venue, or its landlord, by the Function guests, or otherwise in connection with a breach of this provision by Customer.
- Function entertainment (including but not limited to all bands and discos) must cease at the same time that the bar closes. All Music must cease outdoors by 10:55pm.
- The Customer shall ensure that the Function will not be conducted and that its guests will not behave in a way which will, or may, constitute a breach of the law or cause a nuisance or be an infringement of, or occasion for, or render possible forfeiture or endorsement or non-renewal of licences for the Venue or conflict with The Venue’s fire certificates.
- While the Function is likely to be an occasion for celebration, The Venue operates a policy of zero tolerance towards (without limitation) the possession and/or use of illegal drugs, illegal gaming or betting, violence and drunken, abusive or threatening behaviour. In the event that the Venue Manager or and The Venue’s employees or agents discover or experience any such behaviour, The Venue reserves the right to take such action as The Venue considers (in its sole discretion) necessary to ensure the safety of its personnel, including but not limited to any of the following:
- stopping the sale of alcohol;
- closing the Function bar early;
- ending the Function early;
- involving the police;
- pursuing the individuals concerned in the civil courts, and the Customer shall indemnify The Venue and hold The Venue  harmless in the event that any such action becomes necessary.
- Shoes must be worn by guests at all times while at the venue in case of glass etc. The venue holds no responsibility for any injuries caused.
-Staff at the venue hold the right to refuse alcohol to any client or guest who appear intoxicated or underage, or if We have reason to believe that alcohol is being purchased for a minor.
-We reserve the right to ask any client or guest who is drunk or disorderly to leave the premises.

Capacity Regulations and Policy:

The Waterside’s venue capacity must be strictly met. Any guests over the venue capacity will not be admitted to the event. If there is a refusal to leave the venue or non-adherence to our policies on capacity after two verbal warnings given to CUSTOMER, the event will be cancelled immediately by the venue - with no refunds being given.

All events must have linen tablecloths (no disposable or plastic tablecloths permitted)

Suppliers/External Caterers:
- The Venue reserves the right to approve any externally arranged services. The customer is responsible for informing the venue of all the suppliers in advance. (Name of company and phone number)
-Suppliers are encouraged to make a site visit to the venue and required to sign the venue’s supplier contract, digitally or bring with them on the day (we will send them the documents in advance).
-The Venue cannot be responsible for any contracts between the suppliers and the customer.
-The Venue cannot take responsibility for and payments from the customer to their suppliers on the day.
- If the customer hires in any additional tables or chairs from an external company; the customer is responsible for receiving delivery of the furniture, laying the furniture out in the marquee and dismantling furniture ready for collection in the manner of which it was delivered.
-The Customer are responsible for arranging and booking any Services that you require directly with Suppliers.
-The Customer are responsible for understanding any restrictions, conditions or costs related to the use of Suppliers at the Venue including any exclusive rights enjoyed by Suppliers to provide Services at the Venue or restrictions on specific Suppliers where such rights or restrictions might restrict your choice of Supplier.

-The Customer is responsible for ensuring that they understand and accept the availability and any applicable terms and conditions of Suppliers that they might intend to use in relation to your Booking before they complete their Booking with the venue.


The Waterside Venue is not responsible for the performance of any suppliers.

Unexpected Events
- An ‘Unexpected Event’ (otherwise known as a ‘force majeure event’) means a cause or circumstance not within The Venue’s reasonable control (as listed below) which affects the performance of The venue Group’s obligations under the Contract:
-- acts of God (flood, drought, earthquake, other natural disaster, severe weather warning or adverse weather event);
-- collapse of buildings, fire, explosion or accident;
-- epidemic or pandemic (this includes but is not limited to COVID-19), in each case including, but not limited to, any actions, recommendations, announcements or restrictions, related to its subject matter (whether made by a government body, authority, public health organisation or other similar official body) or outbreak at the Venue;
-- terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;
--nuclear, chemical or biological contamination, or sonic boom;
--any law or any action taken by a government or public authority, including without limitation imposing an export or import restriction, quota or prohibition; and
--interruption or failure of utility service.

- If an Unexpected Event occurs, The Venue will discuss its proposed steps to minimise the impact of the Unexpected Event and the Customer’s options with the Customer. These options will differ on a case-by-case basis depending on the nature of the Booking and the impact of the Unexpected Event.

- If The Venue Group and the Customer are unable to agree on a suitable option for the Customer to minimise the impact of the Unexpected Event, the Customer may contact The Venue (or The Venue Group may contact the Customer) to cancel the Booking.

- If the Booking is cancelled as a result of an Unexpected Event, the Customer will be entitled to a refund of monies paid (or, where applicable, a release from further liability to make payment).

Child Safety Policy:

- The Venue including any member of its staff will not be responsible for the care of or supervision of children.
- All children under 12 years of age must be supervised by an adult at all times.
- It is the responsibility of the client to ensure all parents/guardians with children in attendance have read and understood our Child Safety Policy.
- It is the responsibility of the parents/guardians and therefore the clients to ensure the good behaviour of children at all times.
- The company reserves the right to ask any children who are not keeping good order or under the influence of alcohol, in the opinion of the Event Manager to leave the venue at any time during the event.


Should there be reason to suspect adults are purchasing alcohol for minors; the venue reserves the right to cease the serving of alcohol

Liabilities

- The customer shall not sub-hire or use the venue or allow the venue to be used for any unlawful purpose or in any unlawful way.
- The venue shall provide electricity, water, drainage and sewerage at the venue. The venue shall not be responsible for any disruption to such services or the consequences thereof unless disruption is due to the venue’s negligence.

The customer shall be liable for, and shall indemnify the venue from and against:

- All expenses, losses, claims or proceedings arising under any statute or at common law as a result of personal injury to or the death of any person arising out of or in the course of or caused by the occupation of the venue by the customer save to the extent that the same is due to the negligence of the company and its employees.
- In respect of any injury or damage whatsoever to any property in so far as such injury or damage arises out of the occupation by the client of the venue, to the extent that the same is due to any act, omission or neglect of the client or its guests.
- Any loss or damage to the venue’s property and/or fittings (including any items hired by the company for your use).
- Injury to anyone including the company’s staff arising as a consequence of your event.
- Personal and guest possessions including presents and gifts received during an event are left entirely at the clients own risk.

General:
- The use of live animals, bouncy castles, fireworks, Chinese lanterns and such like are strictly forbidden.
- Confetti is not permitted at the venue. It is the Customers responsibility to inform their guests of these conditions.
- No wines, spirits or beers may be brought into the Venue nor do we allow corkage.
- Any guest found bringing wines, spirits or beers into the Venue, for their Consumption, will be charged accordingly and asked to leave the premises.
- A firm booking is only made when the correctly completed Booking Form has been returned together with the appropriate deposit.
- The Waterside Venue is not responsible for any vehicles left in the car park during the event and, are left at the owners’ risk.
- CCTV is in operation throughout the venue for the safety of our staff, customers and their guests.
- It is the customer’s responsibility to notify their suppliers if the they cancel the event for any reason. Please note that notifying their Suppliers of a cancellation does not cancel their Booking at our venue. To cancel the Booking, the customer must contact the venue directly.

-As we are constantly improving our offer and space. Any changes we make to the venue, ie. decorative or structural cannot be changed or contested by a customer (if the venue is slightly different than when they saw it at a viewing pre-booking). The venue is entiltled to change any structures or decor as it sees fit at any time.

- The venue staff reserve the right to use any photographs or short videos taken at your wedding for venue social pages.

- If you would prefer the venue to not use any of your photographers’ images or short videos in the venue marketing, please notify us in advance.

-If an event is rescheduled, no refunds for any payments made will be given back by the venue.

Ceremony Information:
- If you are holding a ceremony on our premises you are responsible for the registrar fees. Should the wedding/event be cancelled for any reason, it is wholly the customer’s responsibility to ensure the registry office are made aware and any cancellation charges incurred will be the responsibility of the customer.
- Ceremony fee paid to venue is for use of our pergola, chairs, tables and staffing.
- No food or alcohol is permitted in the ceremony area during the ceremony or for up to one hour before the ceremony (council rules)
- The venue is required to close and cover the bar with a curtain before and when ceremony takes place, we are aware of this and the suitable curtain is provided by the venue for this.

Noise Policy:

- All bands and DJ’s must adhere to our noise control policies. Due to our close proximity to neighbours, the council has determined to us that all volume extracted from speakers and amps MUST be 90dsb or below at ALL TIMES.
- Staff at The Venue will inform all performers prior to the event.
- The Waterside, using their dsb monitor will ensure the noise is kept below the maximum noise level permitted. (90dsb)
- Use of our in-house bluetooth speaker is permitted in our Willow Grove for ceremonies and to play background playlists - we do not allow external speaker systems to be set up for playlists/dj after ceremony has taken place over in the Willow Grove.
- There shall be no music permitted outdoors after 10:55pm (Fri-Sat) and 8:55pm (Sun-Thurs) and all guests must move inside the building for the remainder of the event.
- After the event, guests will be required to wait indoors until their car, taxi or bus is outside to collect them. The Venue does not permit gatherings to form outside the venue after 11pm. The staff will closely monitor this. 


Please respect our neighbours and the surrounding environment at all times.

Wedding Insurance

It is recommended that wedding insurance is taken out with public liability cover. Please bear in mind that all deposits and balances are non-refundable and, in the event of transfer of Date and/or cancellation of Your Booking, relevant clauses will apply. Most wedding insurance policies provide cover for illness (unless it is pre-existing), close family death and some other circumstances beyond the insured’s control but normally not for unexpected pregnancy or break up of the relationship. It is suggested that the public liability cover not only includes YOU but also YOUR guests with regard to liability for accidental injury or damage caused by YOU or YOUR guests.

Registrars

The Waterside Venue does not book the registrar - each couple, if having a ceremony, must contact the registrar’s directly via this website .

What is expected from your external Caterer?

If you are utilising our Dry Hire Option (External Caterers) for your event with us, you will need to provide the name and contact details of the catering company when you fill out your booking form (or as soon as you can). We will contact the caterer directly reiterating our house rules and will require a signed copy of our ‘Caterer Agreement Form’ and HACCP form from them.

The Waterside Venue accepts no responsibility in cases where the catering company serves inadequate food on the day or a guest becomes ill directly as a result of food consumed at the venue (due to cooking malpractise, allergy advise not adhered to or other) which has been prepared and cooked by the external catering company. It is the external catering company’s responsibility to ensure no such malpractise occurs on the day and it is their sole legal responsibilty in the unlikely event it does.

Below are the enforced rules for all caterers working in The Waterside Venue:

*On the day of the event, the catering company must bring with them a signed copy, or send a digital copy prior to arrival, of the ‘Caterer Agreement Form’ (we send) and a signed copy of the HACCP form (to confirm they are aware of HACCP measures) sent to them by The Waterside Venue prior to the event.*

-       
- The catering company is required to have (and have on hand at all times when on our premises, or have sent to Venue digitally prior to the event) their hygiene certificates and public liability insurance documentation.

-        The Catering Company is permitted to use kitchen in The Waterside for serving food – This includes use of Fridges, Counter tops, Microwave, Oven, Grill, Service area etc. (as long as HACCP action plan/ Food Safety Regulations are closely being adhered to)

 

-        It is the catering company’s responsibility to ensure kitchen is clean and adheres to EHO standards at ALL times during preperation, service and cleaning.

-       
- The Catering Company is solely responsible for providing sufficient staff to serve and clear all food prepared for the event. The Venue will not supply any staff for food service.

-       
The Catering Company is responsible for the entire food service on the day and all that goes with it (cooking, serving customers, cleaning, cleaning kitchen, removing all waste etc) The Venue’s high standard of service must be met – when on our premises, The Catering Company must provide a high quality service (especially clearing, removing all rubbish and providing excellent service to it’s customers).

-         

-        All plates, cutlery, cups (crockery and cutlery) and serving tables will have to be supplied by the catering company.

-        The external caterer must supply their own oil. 

-        The kitchen must be left as you found it: Prior to departure, the catering company must ensure that all equipment belonging to the Waterside, which has been used by the catering company, must be washed and put back the way they were found originally. This includes kitchen equipment (oven, microwaves, fridges etc..) used for food service.

-No food is permitted to be thrown down the sink. If this happens, the venue holds the right to fine the catering company a fee for damage.
-
-  All catering companies are responsible for the waste generated as a result of their services. All waste is to be removed from the venue immediately and it is the responsibility of the catering company to ensure this is carried out.

-
- The dumping of materials or disposal in the venue waste bins is strictly prohibited. Companies who are found not to be complying with this regulation will be charged a waste removal fee by The Waterside Venue or may have their access rights revoked
-
- The catering company MUST check in with Venue owner/manager prior to leaving. He/She must inspect the kitchen and sign off before you can leave.
-
- If damage occurs to any piece of kitchen equipment during the catering company’s service, it will need to be assessed and all repair costs will be billed to catering company.

-
A member of The Waterside Venue Management will sign the catering company out and check that kitchen is clean, floor swept, assess for damage, ensure surfaces clean, and ensure all rubbish removed prior to the caterer leaving the Venue.

* If you are bringing your own caterers, The Waterside Venue does NOT provide cutlery and crockery (plates and cutlery) - these will need to be supplied by your chosen external caterer. *
